Canto is the software behind the upload link provided in the project.
Fairpicture follows the IPTC standards and strictly requires the necessary metadata for each photo and video.
Please see Fairpicture's IPTC metadata guidelines for more details.
Without the correct IPTC metadata, the visual material cannot be delivered to the client.

File naming conventions
Please note that serial numbering is not possible with Canto. It might be preferable to name the files in Adobe Lightroom, Bridge, or Premiere.
Before uploading, please name all files according to the following naming conventions:
Photo naming convention
- Project ID_Fairpicture_ascending photo number.jpg
- Example: 128_Guatemala_Fairpicture_001.jpg
Video naming convention
- Distinction between b-roll / interviews_Project ID_Fairpicture_ascending video number.mp4
- Example: Broll_128_Guatemala_Fairpicture_001.mp4
- Example: Interview_128_Guatemala_Fairpicture_001.mp4
Consent with the Fairpicture Consent App: No naming necessary, the app does this for you.
Other Consent form (CF) naming convention
- Full name of the person_CF_Project ID_Fairpicture.pdf
- Example: Rodriguez_Anna_CF_128_Guatemala_Fairpicture.pdf
In case children are included on the consent form, please add them as following:
- Full name of the person signing (name of children in parentheses)_CF_Project ID_Fairpicture.pdf
- Example:

Written products naming convention:
- Project ID_Fairpicture_name of written product.txt

Add required metadata fields for visual material
1. Author / Creator name: Please fill in your first name(s) and surname(s).
2. Title: Please fill in a title to specify the story.
3. Description / Caption / Abstract:
- Photography:
- Describe in the present tense WHO is pictured (full name, age, role) and WHAT is going on in the photo.
- Give context to the event and/or describe WHY the photo is significant.
- Videography:
- Describe in the present tense WHO is filmed close-up (full name, age, role) and WHAT is going on within the scene.
- Give context to the event or describe WHY the scene is significant. Indicate timestamps if more than one scene is being filmed.
4. Country: Please fill in the country where the photo/video was taken.
5. Province / State: Please fill in the state / province where the photo/video was taken.
6. City: Please fill in the greater area / city where the photo/video was taken.
7. Sublocation: Please fill in the exact location where the photo/video was taken.
8. Name of Organisation shown: Please fill in the (local) partner organization / project.
9. Credit line: Please fill in your first name(s) and surname(s) / client name / Fairpicture.
10. Person shown: Name(s) of the person(s) shown close-up with age in parentheses.
11. Copyright notice: Add © year, Name Visual Creator, All Rights Reserved.
12. Model release status: Please select the correct value from the top-down-list
- Unlimited Model Releases for all files where consent forms are available.
- Not Applicable for all files where no consent is required (for example photos/videos with no person shown)
- Limited or Incomplete Model Releases if the consent form is limited or not available
- None if the consent form is missing for the photo/video
13. Model release Identifier: Select from the drop-down list
- Available in Fairpicture model release database for all photos/videos where consent forms are available.
- No consent for situational reasons for all files where situational reasons (security, specific event) didn’t allow consent to be obtained
- Leave this field empty, when no consent form is available.
14. Keywords: Select from the drop-down list
- Client images for all image material
- Client written document for all written documents (exp. written products)
- Model Releases for all consent forms
15. Terms & Conditions: Select Copyright and rights of use according to Fairpicture Terms & Conditions
16. Add / Overwrite: If you are filling in metadata to empty fields, choose "add". If you are editing or adjusting metadata, please choose "overwrite" for the fields you want to change so the previous information gets overwritten.
Add required metadata fields for consent forms
Fairpicture generally works with the Fairpicture Consent App for Android and iOS, with which you upload the consent forms directly to our system without having to name them. If, for some reason, you cannot use a mobile device, and you used the Fairpicture consent forms (PDF), please follow the naming conventions below.
1. Please name your Model Release files according to our naming conventions:
Consent form (CF) naming convention:
- Full name of the person_CF_Project ID_Fairpicture.pdf
- Example: Rodriguez_Anna_CF_128_Guatemala_Fairpicture.pdf
In case children are included on the consent form, please add them as following:

2. Please fill in the Model Release first name and surname of the person(s) mentioned in the model release according to Fairpictures Informed consent guidelines
3. Please choose ”Model releases" from the dropdown menu.
