How the FairConsent App works for Fairpicture projects

How to use the FairConsent App

Log in to the app

Open the app and choose "Scan QR-Code of a Fairpicture project".

Log in to the Fairpicture platform and scan the QR code you find on the respective project page. You need to log in using the right QR code so that you can upload the consents in the right place at the end. 


Please note that you need to be connected to the internet in order to scan the QR code.



Obtain the consents

  1. INFORM: In cooperating with the local organisation, you inform the community and the people who are to be depicted/interviewed in advance about the procedure, the aim and the use of the images/stories. This information includes in particular:
    • that you will ask all people being photographed, filmed or interviewed for their consent;
    • who is responsible for the project and for the publication of the visuals / shared information;
    • in which media the visuals / shared information will be published;
    • what the intentions are for the publication of the visuals / stories;
    • that a pseudonym will be used if they wish;
    • that the photos, videos and stories will be used for 5 years;
    • that they can withdraw the consent at any time if they wish;
    • who the contact person for the withdrawal of consent is (local partner organisation).

  2. GET THE CONSENT with the FairConsent App:
    • Choose for whom you want to get consent;
    • Add their details such as name, age, email and/or phone number;
    • If a pseudonym is required, select the 'Use Pseudonym' checkbox and enter the pseudonym name;
    • Choose the language in which you would like to present the consent information, then either play the audio recording or show the consent text to the person being photographed or filmed;
    • Record consent ideally through a photo with a thumbs-up gesture, or alternatively with a signature;
    • Add a child/children, if needed;
    • Add a witness;
    • Complete the consent by confirming that you got everything recorded;
    • Record a new consent or checkout & upload when you have all the consents you need.




Upload the consents

After completing the consents, you can upload them to our system by clicking the “Checkout & Upload” button. Please note that you need to be connected to the internet for the checkout and upload.


IMPORTANT: After the upload you can no longer find or edit the consents in the app. Please make sure all consents are complete and correct before checking out and uploading them.


If you would like to obtain more consents for the same project after uploading some consents, please check in to the app again by scanning the respective QR code on the Fairpicture platform.



Offline use of the app

Access to the internet is needed when scanning the QR code for the log in and when checking out and uploading the consents. 


No access to the internet is needed when recording the consents.




Frequently Asked Questions


Do children have to give consent?

Children are personalities and need to give their consent to their picture when they are 14 years old or older. If the child or children are under 14 years old, the consent of a parent or guardian is required.


Individuals aged 14 or older: Consent from the child/young adult themselves is required.

Children under 14: Add the child to the consent of the parent or legal guardian.




Why is a witness needed and who can act as a witness?

Consent is more credible if there is a witness. Any adult present can testify that consent was given. Usually this is a staff member of the local partner organisation.



Why do I need to record email addresses and phone numbers?

People who are photographed or filmed should be able to easily withdraw their consent in the future. They can do this by emailing or texting the contact person for the withdrawal of consent. We need their email address and/or phone number to link their request to the photo(s) and/ or video(s).


If no phone number: insert "0".

If no e-mail address: insert "@".



Is the app available in a language other than English?

The Fairpicture Consent App is currently only available in English. The consent texts are available in several national or regional languages.



The consent texts are currently available in Akan Twi, Amharic, Arabic, Bengali, Dari, English, French, Hindi, Malagasy, Nepali, Portuguese, Russian, Sinhala, Somali, Spanish, Swahili, Tagalog, Tigrinya.


All persons photographed should be addressed in a language with which they are familiar. If a language is missing, please let us know at info@fairpicture.org. We will include it in the next update of the app if possible.



Can I see which consents I have already recorded?

Yes, you can always find an overview of already recorded consents of each individual in the app. Be aware that after you upload them, the recorded consents are not visible and editable in the app anymore. Please make sure the consents are complete and correct before checking out and uploading them.





Can I edit a recorded consent?

Yes, you can edit a recorded consent by clicking on the desired consent under "Recorded consents". Please make sure to save your changes by clicking "Update". 



Can I access the consents after uploading them?

Yes, after uploading the consents, you can download them as PDFs from your project page on the Fairpicture platform. Simply use the 'Download consents' button located under the 'Visual Material' section.
